Proactive and meaningful stakeholder engagement, which includes employees, communication and effective change management are key success factors in the GSS journey. jobDescription To deliver a high standard of Travel, Expense and Mobile support to VIP and general travellers by providing responsive, professional and customer-focused service, ensuring traveller needs are met efficiently, safely and in line with company processes and standards KEY TASKS The primary accountability will incorporate: Ensure Travel, Expense and Mobile ecosystems, procedures and processes are consistently applied in the delivery of services to clients and internal stakeholders. Provide high-quality support to VIP and general travellers, as well as travel bookers, ensuring queries and travel-related requirements are handled accurately, professionally and in a timely manner. Ensure all relevant safety protocols, travel requirements and destination risk information are clearly communicated to VIP travellers and/or travel bookers. Establish and maintain trusted relationships with VIP travellers and ensure traveller profiles are accurate, complete and kept up to date. Monitor vendor performance against agreed service level agreements (SLAs) and service standards, and address or escalate service delivery discrepancies with the relevant provider where required. Identify and report travel-related risks, incidents and service issues to the line manager, and support the implementation of appropriate mitigating actions. Support the team during travel disruptions or crises by coordinating communications, re-bookings and traveller assistance for VIP and general travellers. Promote traveller awareness of safety-related issues and support a travel environment in which risk is managed to an acceptable level. Act as a primary point of contact for VIP and general travellers and their travel bookers, gathering feedback on traveller experience and identifying opportunities to improve future service delivery. Support policy compliance by applying approved processes and standards consistently, and escalating non-compliance or service concerns where necessary. Handle traveller and operational data in accordance with data privacy requirements, company policies and relevant governance standards. Support broader Travel, Expense and Mobile activities and queries, including training, communications, project support and reporting, as required. Contribute to ongoing service and process improvement by identifying recurring issues, trends or gaps and supporting initiatives to enhance service quality, traveller experience and operational effectiveness. Key Travel Risk responsibilities: Monitor global travel risk developments and alerts, and support the dissemination of relevant information to travellers and internal stakeholders in a timely manner. Support the preparation and distribution of pre-travel risk briefings and destination-specific advice for travellers, ensuring alignment with approved guidance and standards. Assist in verifying that high-risk travel requests have appropriate approvals and that required safety measures are in place prior to travel. Support traveller tracking activities and assist with check-in protocols to ensure visibility of traveller location and status where required. Assist in coordinating responses to travel incidents by gathering information, maintaining communication logs and supporting escalation processes. Support the maintenance of travel risk tools, systems and traveller data (e.g. profiles, itineraries, alerts) to ensure accuracy and completeness. Contribute to the documentation of travel incidents and near misses, supporting reporting, trend analysis and continuous improvement efforts. Assist in promoting the use of approved travel risk tools and platforms (e.g. traveller tracking apps, alert systems) to enhance duty of care. Support compliance with travel risk policies, standards and procedures by identifying deviations and escalating where required. Participate as an effective team member in working collaboratively with your leader, peers and relevant others (including from other teams) to achieve business goals Monitor the activities of your team which involve other teams and appropriately intervene to address any cross-team issues Financial: Operate in a cost-effective way, within the limits set by your manager.  Identify any opportunities for improved cost management and either address these, or raise them with your manager, as appropriate Work Processes: Monitor adherence to travel policy and approved processes Escalate non-compliance, service risks or control concerns as appropriate Maintain accurate records and support audit or governance requirements Ensure traveller data is handled in line with privacy and data protection requirements qualifications Grade 12 Matric 3-year tertiary qulification EXPERIENCE Demonstrated experience of 3+ years in Travel & Expense Management in a large corporation with multiple divisions across a global footprint Online booking systems SAP Concur, Egencia (or similar) knowledge Demonstrated experience in travel risk management, including assessing destination risk and supporting the implementation of appropriate mitigation measures for corporate travellers Experience working with travel risk providers and tools to monitor global events and support traveller safety, duty of care, and informed decision-making Strong work ethic and ability to work independently in a fast-paced environment with excellent interpersonal skills Proficient English written and verbal communication competency.
