Secretariat Executive The United Grand Lodge of England are looking to hire a Secretariat Executive to join our vibrant and welcoming secretariat department, based at Freemasons’ Hall, Covent Garden.

The role will be a key part of the department’s team and will report to the Secretariat Team Manager. The areas of responsibility can be split into Masonic Technical and Masonic Administration.

Background

Background UGLE is the governing body of Freemasonry in England, Wales, the Channel Islands, the Isles of Man consisting of 48 Provinces roughly based on the old county boundaries and 32 Districts overseas.

Freemasonry is a membership organisation of 175,000 people meeting in more than 7,000 Lodges across the globe. Membership is open to any man over the age of 18 irrespective of their background, race, or religion, with students also able to join one of 87 University Scheme Lodges. The largest Province in UGLE is Metropolitan in London with many Lodges meeting at Freemasons Hall in Covent Garden which also serves as the Headquarters for English Freemasonry worldwide.

Freemasons’ Hall is a unique art deco building which can date its origins back to 1769 when Freemasons first started meeting at this site. The current building was completed in 1933 as a memorial to those who died in the Great War. It houses 22 meeting rooms including some unique spaces regularly used for major international events and as film locations.

The Hall itself provides a magnificent meeting place for UK and international masonic lodges. It is open to both Freemasons and the general public who are provided with both self-guided audio tours as well as guided tours of the facilities. The Museum of Freemasonry, with one of the finest collections of masonic artefacts and archives in the world, is housed within the building.

Key Responsibilities:

Masonic Technical Duties

  • As a part of a team assist with the delivery of the key meetings of UGLE/SGC – dealing with the logistics, paperwork, booking processes, and seating plans are completed in an accurate and timely manner for:
  • Quarterly Communications of Grand Lodge
  • Supreme Grand Chapter Convocations
  • Annual Investitures of Grand Lodge and Grand Chapter
  • Build strong and effective relationships with Metropolitan Grand Lodge of London, Provinces, and Districts, particularly at the Met/Prov/Dist Grand Secretary level, with a focus on the smooth and timely delivery of UGLE processes and displaying strong customer service skills.
  • Working with the Grand Director of Ceremonies and his team to ensure they have all required support to deliver their ceremonial work on Grand Lodge and Grand Chapter occasions.
  • Build knowledge and understanding of the relevant Rules and Regulations to provide relevant technical advice, under the supervision of the Secretariat Team Manager.
  • To deliver the department’s core functions, which includes: visits by Rulers, and on occasions of installations ensure that the required paperwork is produced in an accurate and timely manner; the production of a range of warrants, patents and charters; Lodge and Chapter erasures; approval of by-laws, badges, banners; confirming the Deaths of Grand Officers and processing Metropolitan/Provincial/District Executive changes.
  • To support the department in capturing relevant requirements for Portal and assist the team and the core customers of the department in adapting to the transition from ADelphi to Portal.
Masonic Administration
  • Working under the direction of the Secretariat Team Manager, to assist the team in the production of the seating plan for the Grand Temple on the occasions of Quarterly Communication, Supreme Grand Chapter, and the Annual Investitures.
  • To assist with the production of the Masonic Yearbook and the maintenance of the lists of Grand Officers.
  • Proofreading a wide range of documents where absolute accuracy is essential.

Hours of work

Full time (35 hours per week) Monday to Friday
