Remote Legal Assistant

Position Summary The Remote Legal Assistant will be responsible for a wide range of administrative and client-focused tasks. The ideal candidate is a detail-oriented professional with excellent communication skills and experience in law firm operations. You will manage the client lifecycle from initial intake to final billing, ensuring a smooth and professional experience for our clients and allowing our attorney to focus on practicing law. Key Responsibilities
Client Intake
Serve as the first point of contact for prospective clients via phone and email.
Conduct initial client screening to gather essential information and determine if they are a good fit for the firm.
Schedule initial consultations for the attorney.
Client
Engagement & Onboarding:
Draft, prepare, and send client engagement letters and fee agreements for review and signature.
Set up new client files in our case management system. Billing and Financial Administration:
Generate, review, and send out monthly invoices to clients.
Track billable hours and expenses accurately.
Follow up on outstanding invoices and manage accounts receivable.
Process client payments and record them in our billing system.
General Administrative
Support
Manage digital files and maintain organized client records.
Handle correspondence with clients, courts, and opposing counsel as directed.
Assist the principal attorney with calendar management and scheduling.
Manage the intake workflow within the case management system and regularly check that everything is moving forward.
Follow up on key intake actions, such as confirming engagement letters have been sent and payments have been received.
Keep attorney apprised when decisions or actions are needed to keep intake progressing.
Ensure all information needed by our marketing partner (total number of leads, qualified leads, cases signed, etc.) is captured accurately during the intake process.
Perform other administrative duties as needed to support the firm's operations.
Qualifications and Skills
Required
Proven experience as a Legal Assistant, Legal Secretary, or Paralegal, preferably within a law firm setting.
Strong experience with legal billing software (MyCase preferably, but Clio, PracticePanther, QuickBooks, or similar systems is great, too).
Proactive in being able to take ownership of the intake process without needing constant direction.
Exceptional written and verbal communication skills, with a professional and empathetic demeanor.
Meticulous attention to detail and outstanding organizational abilities.
Demonstrated ability to work independently, manage competing priorities, and meet deadlines in a remote environment.
High level of proficiency with the Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat Pro.
A reliable internet connection and a dedicated, quiet home office space. Preferred (but not required):
Ability to perform basic legal research using platforms like Westlaw, LexisNexis, or other online resources.
Paralegal certificate or an associate's degree in a related field.
Prior experience working remotely or for a solo/small law firm.
Compensation and Benefits
