HMO Property Management & Lettings Coordinator

Part-time initially | UK property experience essential | £10/hour during 3-month probation

This is not a task-based VA role. We are looking for an experienced UK HMO / lettings operator who can take genuine ownership of a growing property-management function.

  • The opportunity
We are a fast-growing UK property investment and development business specialising in HMOs and scalable buy-to-let opportunities. As our portfolio and client activity expand, we are building a more structured, systemised lettings and property-management operation that can scale with us. We are looking for a South Africa-based HMO Property Management & Lettings Coordinator to take ownership of the day-to-day management and lettings workflow, reporting directly to our Head of Property Operations & Growth.

You will be expected to know what needs doing, keep actions moving, challenge when necessary and solve problems without waiting for constant instruction. If your preferred way of working is to receive a list of tasks and stop when the list is complete, this role is unlikely to suit you.

  • What you will own
· Coordinating properties from final preparation through to lettings launch, including coordination of furnishings, utilities, cleaning, staging, photography and readiness checks. · HMO compliance administration, certificates, licensing support, recurring checks and accurate records.

· Room/property marketing, enquiry handling, viewing coordination and applicant follow-up.

· Applications, holding deposits, tenant vetting, tenancy documentation and onboarding.

· Day-to-day tenant communications and issue resolution.

· Rent monitoring and clear escalation of arrears or discrepancies.

· Maintenance triage, contractor coordination and follow-through to completion.

· HMO cleaning, inventories, schedules of condition and room-turnaround coordination.

· End-of-tenancy processes and deposit-release/deduction administration.

· Accurate property and tenant records in COHO.

· Weekly operational reporting across occupancy, arrears, compliance, maintenance and outstanding actions.

· Creating and improving SOPs so the function becomes increasingly efficient and scalable.

· Supporting marketing and growth activity for new properties and property-owner clients.

  • What we are looking for
· Previous hands-on experience in UK residential property management / lettings is essential. · Direct HMO or room-by-room lettings experience is essential.

· Strong working knowledge of the UK tenant lifecycle and HMO operational/compliance requirements.

· Excellent written and spoken English.

· Exceptionally organised with strong follow-through across many live actions.

· Proactive and comfortable taking control rather than waiting to be managed.

· Commercially minded: you understand the impact of vacancy, arrears, maintenance cost and slow execution.

· Confident enough to chase and challenge tenants, contractors, colleagues and suppliers professionally.

· Able to work independently in a fast-paced, entrepreneurial environment.

· Comfortable learning and using property-management and cloud-based systems.

  • Systems
COHO, Time Doctor, Microsoft Outlook, OneDrive, Teams, WhatsApp, Dropbox, Xero and Microsoft 365. Previous COHO experience is desirable but strong experience with comparable UK property-management systems will be considered.
  • Working arrangement
· Fully remote from South Africa. · Approximately 20 hours per week initially.

· £10 per hour during a three-month probation period.

· Hours can flex around workload, but you must have meaningful daily overlap with normal UK working hours Monday-Friday.

· Working time recorded using Time Doctor.

· Subject to successful probation and confirmed ongoing workload, our intention is to move the role to a fixed monthly retainer of £866.67 for approximately 87 hours of monthly capacity, with separately approved additional hours paid at £10/hour.

· Unpaid time off by prior agreement.

· Start as soon as reasonably possible.

This role has genuine room to grow. The business is building a larger, more integrated property operation and we want someone who can increase their responsibility as the portfolio expands. The right person could develop from coordinator into a more senior property-management/lettings role as the function grows.
