Positioned within an established property maintenance services firm in Tokai, this part-time (Independent Contractor working on a retainer basis) administrative role is central to driving efficient workflow management and maintaining seamless client communication. Operating on a half-day schedule (13:00 to 17:00, Monday to Friday working from the office) with a fixed on-call component (working remotely) for one weekend per month, the successful candidate will oversee essential operational tasks ranging from client services, claims administration to inventory oversight. This position is ideal for a methodical, multi-tasking professional seeking a structured afternoon schedule while directly supporting key business operations. 



Workflow & Team Coordination: Provide operational support to field teams by managing task schedules, processing service requests, and maintaining structured workflows.
Support daily invoicing, customer quoting and reporting.
Client & Stakeholder Communication: Handle high-level queries via telephone and email with confidence, representing the business professionally to clients and service partners.
Inventory & Stock Management: Monitor stock levels, handle vendor ordering, and keep inventory tracking systems up to date.
System & Platform Navigation: Utilize multiple screens and technical software to process insurance claims and manage real-time job allocation efficiently.
Weekend On-Call Support: Manage remote emergency claim logging and related administrative requests for one scheduled weekend per month (setup provided to support any request remotely from home)

Requirements

Grade 12.
SA Citizen.
Own transport (highly beneficial).
Proven experience in a supportive administrative role with strong operational or client-facing responsibilities.
Background or familiarity with the plumbing, trade, or general property services sector.
Demonstrated track record of effective time management, multi-tasking across software applications, and strong organisational ability. 
Excellent telephone communication skills with a clear and professional manner. 
Ability to work independently during afternoon hours from the office taking ownership.
Manage on-call duties reliably once a month from the comfort of your home.

Required Software Skills:
Google Workspace (Google Drive, Docs, Sheets, Calendar). 
ServCraft or similar operational job management software.
