Foreign Procurement and Logistics Coordinator
Introduction
Voltex (Pty) Ltd is looking for a suitable candidate to fill the role of a Foreign Procurement and Logistics Coordinator within its National Wholesale Procurement Department. The successful candidate will report to the National Procurement Manager and work closely with the wider procurement team.
Purpose of the role:
The National Procurement Assistant provides administrative and operational support to the National Procurement Manager, with a primary focus on import procurement and logistical activities. The role is responsible for coordinating import documentation, arranging and monitoring shipments, assisting with customs and duty-related processes, maintaining procurement records, and ensuring accurate reporting as well as managing compliance LOAs. The successful candidate will contribute to the efficient flow of imported goods while ensuring compliance with company policies and applicable import regulations.
Duties & Responsibilities
Key responsibilities:
- Provide administrative support to the National Procurement Manager.
- Coordinate import procurement activities from purchase order placement through to delivery.
- Prepare, maintain, and file import documentation accurately and timeously.
- Liaise with suppliers, freight forwarders, clearing agents, and internal stakeholders to ensure smooth import processes.
- Monitor shipment schedules and communicate any delays or issues to relevant departments.
- Assist with customs clearance processes and ensure all import duties, tariffs, and related charges are accurately processed.
- Track import costs and reconcile invoices against purchase orders and shipping documentation.
- Maintain accurate procurement records and supplier documentation.
- Generate procurement and import reports using Microsoft Excel
- Support supplier communication and follow up on outstanding orders and documentation
- Ensure compliance with company procurement policies and import regulations.
- Perform general procurement administration and other duties as assigned.
- Ensure compliance with LOA’s
- Maintain an LOA schedule and ensure compliance with necessary laws and regulations
- Manage reorder levels and minimum and maximum stock levels
- Maintain a shipping register
- Data mining
- Identification of product trends
- Tracking and forecasting the sell-out rate of new own-label products
- Analysing supplier and product portfolio performance
- Identifying new target products, and/or volumes for order forecasting and procurement targeting
Desired Experience & Qualification
Minimum Qualifications and Experience:
• Grade 12 (Matric).
• A BCOM Degree in, Supply Chain Management, Logistics, Business Management.
• Valid driver’s licence and willing to travel locally
• Minimum of 2 years' experience in foreign procurement and logistics.
• Experience with import procurement processes and customs documentation is non-negotiable.
• Experience working with freight forwarders, clearing agents, or international suppliers is non-negotiable.
• Kerridge K8 knowledge is advantageous
• Electrical or Wholesale product knowledge
