1099 Client Onboarding & Marketing Operations Specialist

<p><strong>Part-Time Contract Position | Approximately 10 - 20 Hours Per Week | Remote</strong></p><p>Finally Social is a boutique real estate marketing company helping real estate professionals and small businesses stay consistent, relevant, and connected. We are looking for an organized, creative, and forward-thinking contractor who can take ownership of client onboarding while supporting our ongoing marketing, website, and content needs.</p><p><br></p><p>This is not a position for someone who waits to be told every next step. We need someone who pays attention, anticipates what is needed, identifies gaps, communicates clearly, and follows projects through to completion.</p><p><br></p>Key ResponsibilitiesNew Client Onboarding<p>Take ownership of each new client’s onboarding process from signed agreement through launch.</p><ul><li>Send welcome emails, questionnaires, instructions, and onboarding materials.</li><li>Schedule or coordinate onboarding meetings when needed.</li><li>Gather and organize client information, including branding, logos, headshots, biographies, contact information, service areas, platform access, and marketing preferences.</li><li>Follow up proactively when information or access is missing.</li><li>Create and organize client folders in Dropbox.</li><li>Create or update client brand folders and templates in Canva.</li><li>Coordinate access to social media accounts, websites, email platforms, Google Business Profiles, and other approved systems.</li><li>Document the client’s services, brand voice, content preferences, required hashtags, contact information, and posting instructions.</li><li>Confirm the client’s selected services, deliverables, deadlines, and recurring schedule.</li><li>Send new-client welcome gifts.</li><li>Prepare the client’s accounts and materials for the Finally Social team.</li><li>Notify Erin and the appropriate team members when onboarding is complete.</li><li>Maintain an onboarding checklist so no task or detail is missed.</li></ul>Client and Marketing Coordination<ul><li>Respond professionally to client questions through a company email account.</li><li>Track client requests, deadlines, missing materials, approvals, and follow-up items.</li><li>Keep Erin and the team informed of important client updates.</li><li>Review work for accuracy, branding, spelling, links, dates, contact information, and client-specific requirements.</li><li>Help maintain organized client records, processes, and recurring task lists.</li><li>Notice potential problems early and recommend solutions.</li><li>Look for ways to improve efficiency, organization, communication, and the client experience.</li></ul>Website Design and Maintenance<ul><li>Design, build, and update websites using Squarespace and WordPress.</li><li>Assist with Squarespace 7.0-to-7.1 transitions.</li><li>Complete client-requested website updates accurately and efficiently.</li><li>Create websites that are polished, professional, visually engaging, and easy to navigate.</li><li>Apply basic SEO and AI-search optimization best practices.</li><li>Support website accessibility and ADA-conscious design practices.</li><li>Check websites for outdated information, broken links, formatting issues, and opportunities for improvement.</li><li>Stay current with website tools, platform updates, design trends, and best practices.</li></ul>Content and Creative Support<ul><li>Design branded social media graphics using Canva and, when appropriate, Adobe products.</li><li>Create or format social media posts, articles, email campaigns, and monthly newsletters.</li><li>Organize content, images, templates, and client assets.</li><li>Assist with listing, event, business, and evergreen marketing materials.</li><li>Schedule or publish approved content when assigned.</li><li>Ensure every item follows the client’s branding, voice, instructions, and service agreement.</li></ul>Finally Social Marketing<ul><li>Assist with Finally Social’s own social media posts, newsletters, website updates, articles, and marketing projects.</li><li>Help turn Erin’s ideas into organized, actionable projects.</li><li>Research new tools, trends, and opportunities that may benefit Finally Social or its clients.</li><li>Recommend ideas and improvements instead of waiting for every assignment.</li><li>Help document repeatable processes and create checklists or standard operating end.</li></ul>Qualifications<ul><li>At least two years of experience using Squarespace.</li><li>At least two years of experience using Canva.</li><li>At least three years of marketing experience.</li><li>Experience with WordPress.</li><li>Strong organizational, project-management, and client-care skills.</li><li>Excellent written communication and attention to detail.</li><li>Ability to manage multiple clients, deadlines, and recurring responsibilities.</li><li>Comfortable working independently in a remote environment.</li><li>Resourceful, dependable, proactive, and comfortable solving problems.</li><li>Able to receive feedback and make revisions accurately.</li><li>Located in Washington State.</li></ul>Highly Preferred<ul><li>At least two years of experience supporting real estate, mortgage, title, escrow, or related businesses.</li><li>Experience with social media scheduling platforms.</li><li>Experience creating email newsletters and marketing campaigns.</li><li>Familiarity with Dropbox, Canva, HubSpot, and Zoho Social.</li><li>Understanding of SEO, AI-search optimization, website accessibility, and ADA-conscious
